Provide administrative support and assist the Individual Gift Officers for the Development Team in the Cockrell School of Engineering.

Essential Functions

Provide administrative support to the Development Team and individual Development Officers. Functions include, but are not limited to, answering telephones, scanning, shredding, and filing documents, making travel arrangements; initiating Requests for Travel Authorizations; contacting prospects to schedule appointments; preparing travel documents; development of donor profiles and briefing materials for meetings and events; handling reimbursement for travel; assisting with follow up from donor visits; drafting and editing letters, proposals, reports, and other materials for major donors and prospects; assist with the maintenance of current information in VIP system for donors; and attendance at occasional evening and weekend events. Manage the Development Officers' calendars and coordinate their activities and meetings with the overall development, Dean's and the Cockrell School calendar. Interact with Cockrell School colleagues and other University departments to obtain and share information and materials for donor visits and other purposes. On request, assist the Stewardship Team and other parts of the development operation with meetings, events, fundraising and stewardship functions. Serve as a member of the Development Team. Provide backup support to other administrative personnel in the Engineering Foundation. In addition to standard administrative support, the holder of this position will be expected to be a creative team player and proactively strategize and assist in the full cycle of donor cultivation. This includes, but are not limited to: Identification- assist in providing call lists, often strategically based on recent giving, annual solicitations, etc.; Assessment/Early Cultivation- write pre-visit letters when appropriate; Cultivation- pre-solicitation stewardship; Solicitation- proposal assistance and follow up communication, pledge forms mailed, etc.; Stewardship- help make calls to individuals before events and develpment trips, and work with Events Coordinator to schedule special development events.

Required qualifications

High school graduation or GED. Three years of clerical experience including one year of experience using a personal computer, word processing and/or proofreading. Experience working with confidential information. High degree of proficiency in computer applications, including Microsoft Office. Excellent verbal, written, and interpersonal communication skills. Demonstrated excellent organizational skills with attention to detail. Must be able to work well under pressure and with deadlines, independently, and without day-to-day supervision. Demonstrated ability to work effectively in a team-oriented environment. Equivalent combination of relevant education and experience may be substituted as appropriate. Preferred Qualifications

Bachelor's degree and a combination of one year experience, or high school diploma/GED with three years experience assisting with fundraising programs or performing complex administrative functions. Experience working in development in a college, school, or unit. Experience working with donors. Experience working with VIP and UT mainframe.
