Purpose

Provide administrative support, event management, and program execution for the Center for Customer Insight and Marketing Solutions (CCIMS) at the McCombs School of Business.

Essential Functions

Support daily center functions: prepare and process expenditure requests and payment forms; collect and process student documentation; facilitate student reimbursements; maintain physical and electronic files; track all income and expenditures; schedule meetings; reserve conference rooms and conference call lines; order office and event supplies; attend various staff meetings. Support events: assist with planning and execution of events including conferences, advisory council meetings, workshops, guest speakers, info sessions, and executive lunches; reserve event space and A/V equipment; order catering; produce and assemble event materials; run registration table; assist participants with various requests; set up and breakdown event spaces. Support content marketing and branding: update multiple websites using SiteCore content management system; support management of social media accounts; manage branded products including vendor coordination, processing licensing requests, executing orders, and tracking inventory.

Other related duties as assigned.

Required qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of administrative experience, including one year of experience at the Administrative Assistant level. Strong written and verbal communication skills. Professional demeanor and excellent customer service skills. Strong proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. Demonstrated accuracy and attention to detail. Ability to work independently as well as part of a team. Ability to successfully balance multiple projects and meet overlapping deadlines. Finalist candidates will be required to complete intermediate-level assessments in Microsoft Word and Excel. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the above required experience. Prior experience with event planning. Experience updating websites. Proficient with Adobe Design Suite. Experience managing social media in a business environment. Demonstrated problem-solving and critical thinking skills. Ability to take initiative and work without day-to-day supervision. Working knowledge of UT policies, procedures, and administrative systems. Experience working with faculty, staff, or students in an academic environment.

Working conditions

May work around standard office conditions Repetitive use of a keyboard at a workstation Use of manual dexterity Periodic lifting/moving of boxes and materials weighing up to 35 pounds. Some evening hours may be required during peak periods and special events.
