Additional Information

Purpose

To serve as an administrative associate assisting the University Events team.

Essential Functions

Create, manage, organize, and ensure the accuracy of core mailing lists for key initiatives and programs. Create and maintain event databases in the Events System and FileMaker Pro for events. Perform systems analysis and work in conjunction with research team and events associate to produce reports with which the quality control of the University Events team records in VIP can be maintained. Create and maintain team events tracking spreadsheet. Create all event electronic files and ensure they are up to date with fully executed documents. Serve as point person for on campus personnel whom have technical questions about event files and request guest lists for events. Coordinate correspondence and manage event collateral. Update events team outlook calendar. Manage, maintain and respond within RSVP system. Assist with event mailings. Prepare, review and print event nametags. Event record keeping. Manage inventory and purchase orders for supplies for upcoming events. Run occasional office errands. Provide support to events staff for various events of wide-ranging natures. Attend events in varying roles as requested.

Required qualifications

Bachelor's degree. A combination of one year of experience assisting with fundraising programs or performing complex administrative functions. Proficiency in Microsoft Office Suite. Experience with Adobe Creative Suite. Excellent verbal, written, and interpersonal communication skills. Excellent customer service skills. Professional demeanor and ability to interface effectively with a wide variety of staff, faculty, donors, and vendors. Experience working with sensitive information. Excellent organizational skills with attention to detail and resourcefulness. Demonstrated ability to work effectively in a team-oriented environment. Experience working in a diverse environment, maintaining customer focus, and implementing continuous quality improvements. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Training with UT related systems such as Define, VIP, Box, and WORQS.
