Purpose

Provide administrative support to traveling gift officers at UT-Austin McCombs School of Business. Responsible for assisting the Development and External Relations team in planning travel, donor visits, and managing specific development initiatives for both internal and external constituents. Austin, Texas based.

Essential Functions

Develop strategy with multiple gift officers before scheduling meetings with alumni, friends or parents of current students. This will involve some cold calling of McCombs School alumni and friends for multiple major gift officers. Prepare donor research for multiple major gift officers including the Dean of the McCombs School of Business. Supervise a student assistant within the office who will directly report to Development Associate. Provide administrative support which could include but is not limited to: perform mail merges and filing; update donor database; have excel knowledge and track fundraising activities for special campaigns; draft, process and manage endowment paperwork; process gifts; create personalized giving links. Assist in tracking and managing the NY for McCombs Board. Prepare calendars, travel document, trip itineraries, donor collateral materials, and arrange travel for gift officers. Prepare Requests for Travel and reimbursements, including travel, entertainment and other misc. items. Compose and prepare correspondence, reports, meeting agenda and notes, assist with contact reports, thank you letters and follow up materials as requested. Coordinate details of occasional fundraising and alumni engagement events, in national, regional and local territories. Create invitation lists in partnership with research analyst. Coordinate outreach to invitees with gift officers across campus, as needed. Travel for events, as needed. Maintain current information in VIP system, solicitation tracker and other systems as needed for accurate tracking of donors. Handle gift processing submissions, acknowledgment correspondence and pledge payment records. Update and correct donor records and perform related clerical or process functions. Create fundraising reports as needed.

Required qualifications

Bachelor's degree and one year of experience in a university development and or fundraising environment. Working knowledge of major gifts fundraising and development. Proactive and motivated self-starter with strong integrity, drive for success and a high sense of urgency. Goal- and detail-oriented with strong problem-solving skills and high standards for excellence. Excellent oral and written communications skills, including proofreading and editing. High degree of proficiency in computer applications, including Microsoft Office and Excel. Excellent organizational skills and demonstrated success managing multiple projects and administrative tasks simultaneously. Ability to interface with multiple internal and external constituents in-person and on the phone. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree and two years of experience in a university development and or fundraising environment. Experience preparing correspondence with an allotted time frame, downloading and formatting reports using Excel and coordinating details of special events. Proven ability to maintain confidentiality and to manage time and projects efficiently. Proven organizational skills, strong attention to detail, resourcefulness, and ability to work independently. Professional demeanor and ability to interact with benefactors of varying backgrounds. Knowledge of University VIP and DEFINE web-based database system.
